Privacy Policy

Last Updated: August 23, 2026

This Privacy Policy describes how HaulStratus (“we,” “us,” or “HaulStratus”) collects, uses, and protects information when you use our software platform and related services (the “Software”). By using the Software, you agree to the practices described in this policy.

1.Information We Collect

Information You Provide

  • Account information — your name, email address, phone number, company name, and password when you register.
  • Business data — fleet information, driver data, vehicle records, material tickets, and dispatch data you enter into the Software.
  • Payment information — billing address and subscription details. Card data is processed by our payment processor and is not stored on our servers.

Information Collected Automatically

  • Usage data — how you interact with the Software, including features used and activity logs.
  • Device information — IP address, browser type, operating system, and similar technical details.
  • Location data — GPS coordinates from driver devices and vehicles in the field, when permitted.

Information from Integrations

When you authorize a connection, we receive data from connected third-party services — such as QuickBooks, GPS providers, and payment processors — only as needed and as authorized by you.

2.How We Use Your Information

  • provide, operate, and maintain the Software;
  • process payments and manage your subscription;
  • send service-related communications, updates, and notifications;
  • monitor and improve performance, reliability, and security;
  • comply with our legal and regulatory obligations.

3.How We Share Your Information

We do not sell your personal information. We share it only as follows:

  • Service providers — vendors under contract who help us operate the Software, bound by confidentiality obligations.
  • Integration partners — when you authorize a connection, to exchange data with those services.
  • Legal authorities — when required by law, court order, or to protect our rights and the safety of others.

4.Data Security

We protect your information using industry-standard safeguards, including:

  • TLS/SSL encryption for data in transit and at rest;
  • role-based access controls limiting internal access to authorized personnel;
  • regular security assessments and monitoring;
  • secure, access-controlled data centers.

5.Data Retention

We retain your information while your account is active. After your account is terminated, we delete or anonymize your data within 30 days, except where retention is required by law or to resolve disputes.

6.Authentication and Access

  • Passwords are hashed using cryptographic one-way algorithms — we never store plain-text passwords.
  • Password reset is performed securely via email.
  • Session tokens expire after a period of inactivity.
  • Repeated failed authentication attempts are rate-limited to deter abuse.

7.Your Rights

Subject to applicable law, you have the right to:

  • access the personal information we hold about you;
  • request correction of inaccurate information;
  • request deletion of your personal information;
  • export your data in a portable format;
  • opt out of certain processing or communications where applicable.

8.Children’s Privacy

The Software is not directed to children under 16, and we do not knowingly collect personal information from children under 16. If you believe a child has provided us information, please contact us so we can delete it.

9.Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you through the Software or by email. Your continued use of the Software after a change takes effect constitutes your acceptance of the updated policy.

10.Contact
